JOBTOOLZ processes personal data as set out in this privacy statement. JOBTOOLZ attaches great importance to the protection of the personal data it processes, and therefore takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration.

This privacy statement contains information about how JOBTOOLZ processes personal data, and how JOBTOOLZ protects these data.

  • Your activity on the application

The collection and processing of these personal data is necessary for JOBTOOLZ to be able to fulfil its contractual obligations towards the Customer, and within the framework of the legitimate interests of JOBTOOLZ and the Customer.

JOBTOOLZ will not collect personal data through other sources than directly from the User, and will not pass on any personal data to third parties.

In accordance with the applicable legal provisions, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, users have the right to request, free of charge, by means of a written request and proof of identity, access to, rectification, limitation of the processing, or erasure of their personal data, to obtain and transfer their personal data and to object to the processing.

You are hereby informed of the processing of your data in the context of a job application process at our company JOBTOOLZ. It describes which of your personal data are being processed, on what basis and why, and what your rights are.

The following personal data are processed:

  • All personal data that you enter via the application form, including (without being limited thereto), Identification data, contact details, family details, behavioural characteristics and personal characteristics, training and professional data, social media profiles, photos, job application cover letter and CV.
  • Statuses, notes and planning related to your application.
  • E-mail communication.

For which purposes and on which legal basis are the personal data processed? The above data will be processed with the aim of completing the job application process. With your consent, these data are also processed for contact related to possible future vacancies within our organisation. Your response to our job opening is considered the active act whereby you give your informed, free, specific and unambiguous consent to the processing of your data. You can withdraw this consent at any time.

Under the European data protection legislation, we are required to inform you that withholding personal data during your application may place you at a disadvantage with respect to other candidates applying for the same job.

Providing your personal data is a necessary condition to completion of the job application process and to be eligible for hiring by us. You are not obliged to provide these data. If you do not provide the requested personal data, the application process cannot be completed and you will not be eligible for hiring.


The application is software-as-a-service (SaaS) for recruitment, which allows companies, organisations, authorities and other parties (hereinafter referred to as the Customer) to optimise the recruitment process and to (digitally) manage it.

In this context, JOBTOOLZ acts as a processor of personal data of applicants on behalf of the Customer. Where appropriate, the Customer determines the purpose and means of the processing, and the Customer is responsible for the processing of the personal data of its candidates, within the meaning of the Regulation. In this case JOBTOOLZ is merely a processor within the meaning of the Regulation. JOBTOOLZ does not guarantee the legitimacy of the processing of the personal data of the applicant(s) concerned.

JOBTOOLZ cannot and will not respond to questions relating to personal data of which JOBTOOLZ is not the controller.


JOBTOOLZ takes appropriate technical and organisational measures to protect the personal data against unauthorised or unlawful processing and against accidental loss, destruction or damage.

JOBTOOLZ guarantees, to the extent technically possible, the integrity, availability and confidentiality of the personal data through the use of security technologies and techniques. Activities related to personal data are recorded in log files. The same applies to other relevant events, such as attempts to gain unauthorised access to personal data and disruptions that could lead to changes or loss of personal data.

JOBTOOLZ will store all the personal data it has collected in (a) data centre(s) in Belgium.

JOBTOOLZ cannot be held liable in any way for unauthorised or unlawful processing or accidental loss, destruction or damage of personal data as a result of careless use by the user or the Customer of logins and/or passwords.


You have the right to:

  1. access the personal data processed by us.
  2. rectify incorrect data.
  3. request erasure of your personal data in certain circumstances.
  4. restrict the processing of personal data that applies to you
  5. obtain the personal data provided to us and transfer this information to another controller.
  6. object to the processing of the data provided to us.


You have the right at all times to contact the Commission for the Protection of Privacy with complaints regarding the processing of your personal data.
